Dear Colleagues,
I am glad to return as the Elementary and Intermediate All-County Festival Coordinator. Your presence at the auditions, rehearsals and concert last year was critical in making the festival a success. I would also like to thank you in advance because I know that a festival involves your hard work preparing students for auditions, keeping track of deadlines, not to mention the rehearsals and concert.
Prerequisites
- Current 2007-08 WCSMA membership dues must be paid.
- Students must be members of the band/orchestra in their school.
- Please send only students that are well prepared.
- Make sure that students are aware and committed to ALL DATES (rehearsals/concert).
- A chaperone must accompany your students at all rehearsals and concert.
ATTENDANCE AT ALL REHEARSALS IS MANDATORY.
There are absolutely no exceptions and students will forfeit their participation if a rehearsal is missed. This includes but is not limited to: student illness, attendance at wakes/funerals, travel problems related to weather, school/community/religious school sporting events, or leaving rehearsal early for any reason.
Registration
This year you will be registering your participating students on an excel spreadsheet via e-mail. For your convenience, all materials are available online at wcsma.org in the elementary festival section.

The directions for using the spreadsheet are as follows.
- Download form and open with Excel 2003 or newer.
- Fill out all columns completely
- Save a file for yourself
- Email a copy of the file as an attachment to averheyn2350@bcsdny.org by November 16, 2007. E-mail is highly preferred. (If needed, instead of e-mail, you can print out and mail the registration sheet to Alyssa Verheyn at the address below.)
- You will receive an email confirmation from the chairperson.
- The Festival Coordinator will print out personalized audition forms for each student, which students will pick up at the registration table on the day of the audition.
Additional items:
- Print out directions to the audition for your students.
- Give students a copy of the rehearsal and concert schedule.
- After the auditions are completed, you will receive a summary form indicating students who were accepted.
- Download letter of responsibility and distribute to each participating student.
- Collect letter of responsibility and registration fee from each participating student.
- Mail summary form, letters of responsibility and fees to Alyssa Verheyn (address below)
