Zone 11 Area All-State Music Festival 2009

     Dear Teachers:

Congratulations on the selection of your students to the Area All-State Music Festival. We are looking forward to an exciting and challenging festival. We will need the help and cooperation of you and your students in order to make this possible.

To that end, a few reminders:

Attendance:

Any student who misses any portion of a rehearsal for any reason will not be allowed to participate!!!!!

Remind your students that attendance and discipline problems will not be tolerated.

If you are aware that you have a student who is not participating, please contact me ASAP, even if it is the night prior or the day of rehearsal. I may be able to invite another student in their place. Do not fill an expected open spot with another of your students. No student will not be accepted at rehearsal unless officially notified by a chairperson or me.

Transportation and Chaperoning:
You are responsible for the transportation and chaperoning of your students to all rehearsals. It is WCSMA policy that no students drive themselves to any rehearsals.

What Students Should Bring:

Please remind students to bring their music, instruments, pencils, water and meals to all 3 rehearsals.

Band and orchestra students will need to bring a music stand.
Please make sure all stands are labeled with the student’s name.

Music must be returned following the concert. Students will be charged (Band: $5 per page, Chorus: $5 per part, Orchestra: $10 per page) if any parts are not returned.

Teacher Expectations:
You are expected to ensure that your students have prepared their music properly and understand the commitment they have made to the festival.

It is expected that teachers will be present at all rehearsals to help where need arises, with things such as sectional rehearsals, instrument repair, as well as health and behavior situations. Food and refreshments will be available to all teachers during the rehearsals, but we expect you to help out.

Our agreement with SUNY requires us to provide supervision for all students during our time at the hall.

When it is impossible for you to attend a rehearsal, you must designate someone (another music teacher from your school or district, not a parent or bus driver) to be responsible for your student.

DO NOT under any circumstance give our phone numbers or email addresses to students or parents.

I will not speak with parents who contact me before I have spoken with their school’s teacher. I will contact parents only if there is a need to do so. You are the main contact person with your parents. You are expected to handle any student or parent issues directly, and then if need be the appropriate chairperson or I will help handle the situation.

FEES:
Student participation fees of $23 per student (see enclosed invoice) are due by October 21.

Please arrange to send one check (either a school check or your own personal check) payable to “WCSMA.”

In the unlikely event that you are unavailable during a medical emergency, we need to ask you to fill out and return the enclosed Student Contact Sheet as soon as possible.
