Dear Teachers:
Congratulations on the selection of your students to the Area All-State Music Festival. We are looking forward to an exciting and challenging festival, and will need the help and cooperation of you and your students in order to make this possible.
First of all, you will be expected to ensure that your students have prepared their music properly, and understand the commitment they have made to the festival. Remind them that attendance and discipline problems will not be tolerated, and any student who misses any portion of a rehearsal for any reason will not be allowed to participate.
Secondly, you will be responsible for the transportation and chaperoning of your students to all rehearsals. It is expected that teachers will be present at all rehearsals to help out, where needs, with things such as sectional rehearsals, instrument repair, and health and behavior situations. Food and refreshments will be served to all teachers during the rehearsals, but we expect you to help out. Our agreement with SUNY required us to provide supervision for all students. When it is impossible for you to attend a rehearsal, you must designate someone else (preferably another music teacher from your school or district, not a parent or bus driver) to be responsible for your students. It is WCSMA policy that no students should be driving themselves to any rehearsals.
Please remind students to bring their music, pencils, water and meals to all 3 rehearsals. Band and orchestra students will need to bring a music stand. Music must be returned following the concert, and students will be charged (Band: $5 per page, Chorus: $5 per part, Orchestra: $10 per page) if any parts are not returned.
Also, you are expected to handle any student or parent issues directly with me or the appropriate chair. Please do not give our phone numbers or email addresses to students or parents. If your students know they need to contact you first, perhaps many issues can be resolved before they come to our attention.
Student participation fees of $20 per student (see enclosed invoice) are due by October 24. If students are paying individually, please arrange to send one check (either a school check or your own personal check) payable to “WCSMA.” Please also fill out and return the “Student Contact Sheet” to me as soon as possible.
If you had any students who applied, but were not selected, please copy the enclosed letter for them any encourage them to continue their pursuit of musical excellence.
